How Payroll Errors Create Bigger Business Problems
Payroll looks routine until it isn't. Small errors compound quickly into IRS penalties, state notices, and the kind of employee trust issues that don't repair easily. Most are preventable with a few habits.

Missed deposit deadlines
Federal payroll tax deposits have strict schedules (monthly or semi-weekly). Missing by a day triggers a penalty that scales with how late and how often. Most modern payroll software prevents this; manual setups still get caught.

Wrong state withholding
Remote employees in new states need new state registrations and correct withholding. Wrong state filings create notices in both states and a refund/payment cleanup later.

S-corp owner payroll missed or under-funded
S-corp owners must take reasonable compensation through W-2. Missing the year, or under-funding it, creates an exam risk and a re-characterization of distributions as wages.
Year-end W-2 errors
Health insurance, HSA contributions, 401(k) deferrals, and group-term life all flow into specific W-2 boxes. Mistakes here create amended W-2s, amended payroll returns, and frustrated employees.
How to prevent most of it
Use a modern payroll provider. Reconcile payroll to general ledger monthly. Run a year-end checklist in November, not December. Have someone outside payroll review the W-2s before filing.
